Start processing my first pay run
1. Collecting Mutations
First, you need to collect all the mutations you want to process in this run:
You can already process these changes during the period in the permanent employee data under tab employees. If you have not done this until now, do all these mutations now first.
Permanent mutations include:
- New employee
- Employee leaving the company
- Change in personal or salary information of the employee
- Change of bank account
- Fixed pay codes or taxed fringe benefits. Fixed pay codes are mutations that occur every period and do not change periodically or an advance with deductions in multiple installments
One-time / variable changes
You can enter these types of changes after you have generated the pay run. For example:
- One-time deductions or allowances
- Advance payment deductions to be made in one go
- Correction to the fixed deduction or aloowance that applies only to this period processed
2. Create periodic run
Go to tab Process
Choose the Regular run.
The periodic run is the standard payout you make each period.
You can read more about the differences between a periodic run and an additional run in our explanation.
3. Processing mutations
If you have not already updated the fixed mutations during the period, you can do so now. After change(s) in the tab employees, you can add these change(s) via the button update in this run.
You can now enter all one-time/variable mutations manually or import them.
You can change the pay codes that appear in the bar to suit your needs. You do this in the pull down menu next to the update button.
When all mutations have been entered press the green button continue.
4. Checking test pay slips
Check the slips online to see if all mutations have been processed. In between, you can go back and continue to edit a mutation at any time.
If you prefer to work with a checklist, you can download a checklist ( test pay slips) or mutation list from the pull down menu next to the approve button.
5. Approve test pay slips
You can choose to approve the payslips one by one by clicking on the green Approve button next to the payslip. A faster way is, to first check all payslips and then approve all in the pull down menu next to the approve button.
After all test pay slips has been approved, click the green button Continue
In this screen you can indicate when the payslips for the employees should be put in their digital file. You can also indicate if a message should be sent to the employee notifying them that the pay slip is available.
Below that you can indicate when the other output should be published in tab Documents and whether a message should be sent to the company user(s) about this. You can read more about company users in our explanation.
Of course, within Celery it is possible to give your employees a general message. This message will appear on all payslips, so not just from a particular employee.
Finally, you can choose which reports are put in the documents tab after closing. We advise you not to change the default setting. All available reports can always be found in the reports tab after closing.
Press the button close. After this, all selected documents will be automatically generated and saved as .pdf documents in the documents tab under the respective period.
