What is a proforma employee?


A proforma employee is a test employee who is not included in regular payroll processing. This prevents them from being accidentally processed in an official payroll run.


When do you use a proforma employee?

  • For generating sample payslips
  • For testing payroll calculations
  • For showing salary information to new employees before their start date


How do you create a proforma employee?

  1. Go to Employees > Add
  2. Select Category: Proforma
  3. Fill in the employee details
  4. Click Continue and complete the remaining information
  5. Click Save


How do you generate a sample payslip?

  1. Go to Process > Start new process
  2. Select the period and payment schedule
  3. Add the proforma employee to the run
  4. Enter the payroll data
  5. Generate the payslip


Important:

  • Proforma employees are NOT included in official salary journals
  • Proforma employees are NOT reported to SVB or Tax Authorities
  • Proforma runs do not need to be closed


How do you convert a proforma employee to a regular employee?

  1. Go to Employees > select the proforma employee
  2. Click Edit
  3. Change the Category from Proforma to the desired category (e.g., Regular employee)
  4. Click Save
  5. The employee can now be included in regular payroll processing
