What is a proforma employee?
A proforma employee is a test employee who is not included in regular payroll processing. This prevents them from being accidentally processed in an official payroll run.
When do you use a proforma employee?
- For generating sample payslips
- For testing payroll calculations
- For showing salary information to new employees before their start date
How do you create a proforma employee?
- Go to Employees > Add
- Select Category: Proforma
- Fill in the employee details
- Click Continue and complete the remaining information
- Click Save
How do you generate a sample payslip?
- Go to Process > Start new process
- Select the period and payment schedule
- Add the proforma employee to the run
- Enter the payroll data
- Generate the payslip
Important:
- Proforma employees are NOT included in official salary journals
- Proforma employees are NOT reported to SVB or Tax Authorities
- Proforma runs do not need to be closed
How do you convert a proforma employee to a regular employee?
- Go to Employees > select the proforma employee
- Click Edit
- Change the Category from Proforma to the desired category (e.g., Regular employee)
- Click Save
- The employee can now be included in regular payroll processing
